Notarization and legalization

When providing a foreign document to official entities of the Russian Federation it is always necessary to translate the document into Russian and, as a rule, notarize it.

Note: Only official documents, legalized in the country of their origin for use in Russia can be notarized. This means the document must bear an Apostille stamp (if the country of origin is a member of Hague Convention) or consular legalization stamps (if the country of origin is not a member of Hague Convention).

Notarization of a Russian document translated into a foreign language is most usually necessary when the document is to be legalized and then sent to the country of destination. We can manage all the stages of this process.

There are two types of legalization: Apostille stamp and consular legalization.

A document is stamped with an Apostille if the country of destination is a member of the Hague Convention of 1961. The stamp is placed by the Ministry of Justice of the Russian Federation or other entities authorized to place this stamp. In all other cases the document must go through the process of consular legalization at the Ministry of Justice of the Russian Federation, Ministry of Foreign Affairs of the Russian Federation and then at the consulate of the country of destination.

There are certain rules for preparing the documents that are to be legalized. Account should also be made that for certain countries (e.g. Ukraine) there is no need in legalization at all.
In addition, certain types of documents (contracts, agreements, invoices, bills of lading, various documents of title and other documents connected with foreign economic activity) are not legalized but should go through the procedure of validation at the Chamber of Commerce and Industry of the Russian Federation and then at the consulate of the country of destination.
